SMS Messaging Policy

KovaDesk is a business tool used by self-employed professionals — contractors, freelancers, and service providers — to send invoices and payment links to their own clients. This page describes how SMS messaging is used within the platform.

SMS Is Optional

SMS messaging is entirely optional. Businesses using KovaDesk and their clients can use all features of the service — creating, sending, viewing, and paying invoices — entirely through email, without ever using or consenting to SMS. Consent to receive SMS is never required to use KovaDesk, create an account, send an invoice, or complete any payment. A recipient only receives SMS messages if they reply YES to a one-time consent prompt. If they do not reply, they receive no messages and can still view and pay their invoice by email.

1. How Consent Is Collected

KovaDesk uses a double opt-in process. Phone numbers are collected directly by the business owner from their own clients during the normal course of providing a service. KovaDesk does not collect phone numbers independently or contact recipients on its own initiative. The complete opt-in workflow — and every message a recipient receives — is shown step by step below.

The business sends an invoice by SMS for the first time to a client's number.

Before any invoice or link is sent, the recipient receives this confirmation request:

“[Business Name] sends invoice and payment link notifications via KovaDesk. Reply YES to receive yours. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help.”

No invoice or payment link is sent unless the recipient replies YES. Their reply is their explicit consent to receive SMS from that business.

Once opted in, the recipient receives their invoice link:

“Hi John, Mavericks Roofing LLC sent you an invoice for $1,255.00. View and pay here: https://www.kovadesk.com/portal/abc123. Reply STOP to opt out.”

Recipients can reply STOP at any time to immediately opt out and receive no further messages.

2. What Messages Are Sent

Messages are strictly transactional. A recipient may receive a text containing a secure link to view and pay an invoice or deposit request from the business they hired. KovaDesk does not send marketing or promotional messages.

Recipients typically receive only one or two messages related to their specific transaction: the invoice or payment link, and possibly a single follow-up reminder. No ongoing or recurring messages are sent beyond the scope of the transaction.

3. Sample Message

The following is a representative example of a message a recipient may receive:

Hi John, Mavericks Roofing LLC sent you an invoice for $1,255.00. View and pay here: https://www.kovadesk.com/portal/abc123. Reply STOP to opt out.

4. How to Opt Out

Recipients can opt out at any time by replying STOP to any message. Once a recipient opts out, no further messages will be sent to that number from KovaDesk's messaging system.

5. Message Frequency and Rates

Message frequency varies by transaction. Recipients typically receive only one or two messages related to their specific transaction — the invoice or payment link, and possibly a single follow-up reminder. Message and data rates may apply depending on the recipient's mobile carrier and plan.
